Agree who does what before rent falls due
An owner, tenant and manager should each know where notices, payments and maintenance requests go. Write down the authorised collection channel and how receipts are issued. Agree what happens when a payment is late and who speaks to the tenant. A process agreed in advance is easier to follow than one invented during a dispute.
Separate urgent repairs from planned work
A leaking pipe and a planned repaint do not need the same approval route. Set a spending threshold and a way to contact the owner quickly. Ask for photographs, quotations and a record of the chosen supplier where practical. Keep the tenant informed about access and timing.

Review the agreement
